We are now recruiting for a Health and Care Co-ordinator to join our Community team on a 9-month fixed-term contract, working 25 hours per week, Monday to Friday.

About the role

As a member of the community team, the Health & Care Co-ordinator plays a key role in growing the value that members gain from participating in our regional and specialist interest groups, specifically related to Health and Care. The Health & Care Co-ordinator works closely with committee volunteers to ensure that they feel valued and supported by BCS, supporting the transition of Faculty of Clinical Informatics members into BCS, and ensuring BCS provides vibrant community for members working in health and care.

  • Provide proactive support to BCS Member Group volunteers.
  • Be the main point of contact for liaison between MG committees and BCS Swindon.
  • Provide a secretariat function to BCS Health and Care Executive and BCS Transition Committee.
  • Provide co-ordinator support to help the BCS Health and Care executive develop and deliver the BCS Health and Care conference programme.
  • Coordinate event creation and promotion for member group run events.
  • Provide guidance to member groups on BCS rules and policy.
  • Actively engage members in health and care utilising the BCS online community.
  • Coordinate, plan and disseminate communications to member groups.
  • Coordinate expertise to support NHS consultancy commissioned to BCS.
  • Work with the Head of Health and Care and Head of Community in the development of a Faculty of Health and Care.

Key responsibilities:

Volunteer support

  • First point of expertise to MGs, building close relationships with volunteer community. Promote networking opportunities provided by MGs and their importance to the Institute. Advice on points of procedures. Communicate to and collate information from groups (e.g. budget process). Assist with annual Member Groups elections/AGMs.
  • Identify whether planned activities are within the organising Member Group’s budget and alert the Group to any funding issues or opportunities.

Event management

  • Support the BCS Health and Care executive conference programme team.
  • On request from Member Groups, set up and manage events booking system for events including working with BCS colleagues to support promotion. Identify special requirements for attendees.
  • For chargeable events support venue liaison, negotiate pricing and supervise the contract, e.g. minimising risks for early cancellation, assess venue for risk and security. Identify and process AV needs for the event. Plan logistics to meet the timetable for the event and supervise the venue to meet BCS standards. Book caterers, communicating authorisation levels and limits for catering.
  • Prepare delegate packs, maintain attendance records, organise distribution of post-event questionnaires and surveys.
  • Where identified by management, attend events to support event delivery registration of delegates. Typically, this will incorporate events which are chargeable and have attendance of 50 delegates.

Secretariat

  • Provide secretariat support to BCS Health and Care executive and the BCS Transition committee and subcommittees as specified by management.
  • Support creation of BCS Faculty of Health and Care.
  • Work with the Head of Health and Care and Head of Community to support development of a new BCS Faculty, helping to provide administrative support for the transition of BCS Health and Care groups and committees under this new structure.

NHS consultancy coordination

  • Working with the BCS Head of Health and Care, maintain a list of experts who can contribute to NHS commissions. Identifying relevant expertise to be utilised for each commission and liaising with the members directly.

 

  • Flexibility is required of all job holders to adjust responsibilities as required from time to time by their Line Manager/Divisional Director.

Who are we looking for?

Education and qualifications
  • Educated to A level or equivalent.
Experience

Essential:

  • Demonstrable experience of working in a customer facing role.
  • Proven stakeholder management and customer support experience.

Desirable:

  • Experience of co-ordinating events.
  • Experience of working for a not-for-profit organisation, ideally with significant volunteer member contact and an understanding of the different type of working relationships that exist in this culture.

  • Strong communication skills, both written & verbal.
  • Ability to plan and organise and manage own time effectively.
  • Confident dealing with senior stakeholders over the phone and in person.

Special conditions
  • This role requires the travel to London of other cities for meetings, typically 2 days per month.
  • Occasional support for evening events or committee meetings.
